Position: Personal Assistant

A reputable service provider with head office in Zagreb is looking for a highly energetic, hard-working and reliable Personal Assistant fluent in English and Croatianto join a dynamic team.

As a Personal Assistant to a Director, you will play a crucial role in driving the organic growth of the company by assisting Director with daily tasks. Please read the responsibilities carefully.

This is a freelance / part time position. Work timing preferences will be discussed with candidates to find a common ground.

Responsibilities:

  • Supporting the Director with extensive daily management across multiple priorities
  • Organizing travel itineraries
  • Scheduling and coordinating meetings with clients of the company by phone or by personal visits
  • Gatekeeping and liaising with important internal and external stakeholders
  • Planning conferences / investor events / company events
  • Ordering, picking up, delivering marketing materials
  • Preparation of business correspondence, documentation and presentations
  • Using a variety of software packages including Microsoft Outlook, Word & PowerPoint
  • Managing personal tasks of the director: lunch dinner bookings, laundry pick up/drop, urgent shopping tasks if necessary, calls, any other tasks as might appear to be necessary.
  •  Social media tasks: posts, simple reels editing and posting, filming videos when necessary (with mobile).

Qualifications, skills and requirements:

  • Fluent speaker of English and Croatian
  • Experience as an Assistant in private equity is preferred but not a must. You can be a student, or anyone looking for a part time job. What is important is to have a great hard working attitude and good personality.
  • Excellent interpersonal and communication skills
  • High standards for yourself and those around you
  • High level of attention to detail
  • Exceptional time management and organizational skills
  • Ability to overcome gatekeepers and achieve results when the task is given (this means you need to be persistent when necessary and not shy)
  • Highly motivated self-starter and service-oriented
  • Going the extra mile when needed
  • Very patient and well-tempered, well behaved in stressful situations to maintain high level of company reputation and personal image of Director
  • Advanced knowledge of Microsoft Office, good computer skills
  • Preferred to have at least basic knowledge in social media marketing or high interest to learn it
  • Preferred to have video editing skills (can be simple programs like InShot, Imovie, CapCut or similar)
  • Preferred to have reels editing and creation skills
  • Ability to adapt working schedules according to current priorities
  • Ability to manage multiple tasks and deadlines
